Development Associate
Department: Development
Position: 3/4-Time, non-exempt
Location: New York City, in-person at Ensemble Studio Theatre, with the ability to occasionally work remotely pending office needs and the production calendar
Compensation: $25/Hour, 25-30 Hours Per Week
Benefits: Health insurance begins after 30-days of employment
Paid Time Off: 10 days per fiscal year, plus a week in July and a week in December when the office is closed. EST also currently observes “Summer Fridays”, determined annually.
Development Associate JOB PROFILE
The Development Associate is a key support role in our growing Development team. The Development Associate is managed by and works closely with the Development Director. The role will also frequently collaborate with our Marketing Department and Audience Services Manager. This job will require some weekend and evening hours as necessitated by the production calendar.
The Development team plays a major role in ensuring the financial stability and growth of the organization. The team is responsible for cultivating individual and major giving, writing compelling grant applications and grant reports, and ensuring that all fundraising efforts align with EST’s overall strategic direction.
EST has several major development activities throughout the year that the Development Associate will play a role in. These activities include:
Annual Appeal at the end of every calendar year
Spring Appeal at the end of every season
Receptions and cultivation events during productions and readings
Peer-to-peer fundraising event (the Bowlathon) in the second half of every season
Additionally, the Development Associate will play a major role in the maintenance and use of our Customer Relationship Management database, Patron Manager.
Major responsibilities include:
Donor Management
Maintain and update Patron Manager CRM database, entering and qualifying donations
Build and maintain reports and CRM snapshots including some auto-generated scheduled reports
Create donor lists for communications, campaigns, and tracking, including donor lists for programs
Work with Development Director to create and update automated acknowledgement messages and to track manual acknowledgements
Prepare weekly deposit reports and monthly reconciliation reports for Finance
Assist Development Director in reconciling fundraising numbers with Finance to ensure accurate accounting across databases
Fundraising
Collaborate with Development Director and Marketing Team on regular donor communications and in major appeal planning and writing
Help plan and execute development events including receptions, community outings, and the annual Bowlathon fundraiser
Track participants and pledges for Bowlathon, communicate with participants leading up to the event, and follow up with pledges after the event
Coordinate in-kind food and beverage donations for cultivation events
Work with outbound development consultants to track donations and call list for telefunding campaigns
Collaborate with marketing on direct mailings, including mail merge and printing
Grant Writing Support
Research new grant opportunities, potential sponsors, and community partners
Maintain and regularly update grant tracking system and calendar
Assist Development Director with assigned grant proposals, writing original narratives and using existing institutional language to craft specific proposals
Gather necessary support materials for grant applications and reports
General
Assisting Development Director with donor communications and invitations to shows and events
Communicate with sponsors and Marketing Department to ensure that logos and acknowledgement language are current and properly displayed
Work with Development Director and Audience Services Manager on funder ticketing, flagging major funder attendance
Required Qualifications:
Clear written and verbal communication skills
Ability to handle sensitive information and maintain confidentiality
Rigorous attention to detail
Be excellent at prioritizing and managing their own workflow
Possess the ability to work under pressure with a variety of personalities in rapidly changing circumstances, leading with patience, professionalism, and a sense of humor
Embody and represent the mission and core values of EST to our artists, audience, staff, and supporters, which includes a dedication to anti-oppressive practices in the theatre and beyond and/or a willingness to learn and embody these practices
Preferred Qualifications:
Experience in non-profit theatre production and front-of-house
Experience working with Salesforce, Patron Manager, or a similar CRM database
Enjoy engaging with artists, audiences, and supporters of all types and embodying EST’s values of hospitality and belonging
